 A word about time management and organizational skills

It seems we never have enough time whether in business or in life.  There is not much we can do about the many unforeseen events constraints hardships and other demands on us but what is in our control is our reaction or response to such events and the way we organize our time activities and ultimately our life.

The old farmer said "Make hay while the sun is shining".  What that means speaks directly to time management and organization and to thus the amount of time that we have to spend doing things we really want to do.  What you choose to do during the time that you do not have to deal with outside influences or constraints or other unforeseen events.  In other words your time is your time to do what you want with and choosing to be organized and making full use of your time will determine your happiness and quality of life.

Just one simple exercise of getting more organized and combining shopping trips with bank errands will not only save you time but will save you gas and wear and tear on your automobile.

Simply put time spent in thought and organizational activity before embarking on errands can pay big dividends like having more time and money and we can all use more of both.

Time Delegation Without Dilemma Or Frustration
 
Managing time is never easy, and to do it effectively you are going to have to rely on others to do some of the workload. You cannot accept responsibility to do everything and then try to cram it into your already overloaded and busy day. And if you are like me you are saying; Oh yeah, watch me. Yes, I know you are already efficient with time and you can do those things you have to get done. Of course, I also know that if you are reading this article you are sometimes challenged with time management issues.

That's why I wanted to discuss time delegation with you. There is a saying that; if you want something done right, you have to do it yourself. Yes, we have all heard it and probably think about it a lot, even believe it to be true, and maybe it is, but therein lies the problem. You see, you cannot do everything, but you want everything done right.
 
If you do everything you cannot do everything right all the time, but if you trust other people too much and do not do due diligence before delegating there is a good chance those you delegate to will fail. And that my friends, is the dilemma. But you cannot let that stop you from delegating at least some things.
 
Next time you are going to delegate, delegate they less urgent things, things that can squeak by at 80% perfection and assign yourself only those things that you are best at that you know have to be 100%. This will help you alleviate frustration and help you with your time management delegation. Please think on this.

10 Tips For Blasting Procrastination
 

Procrastination is a bad habit of people. It is in us since we're young and it is up to us to acknowledge that it is an unwanted habit and keep it at bay. How many times we cursed that we never fulfilled our dreams due to procrastination. We can be happier, smarter, healthier and even more wealthy if we could fulfill our daily goals and push away the need to read every email which includes spam, sales letters or humorous emails that you temporarily think that it is more important at that moment instead of doing things of more important value. Everyone is guilty of procrastination and there are ways to tackle the problem and be more productive. Here are 10 ways of blasting procrastination.

1. Affirmation: Do it everyday and consistently. Keep telling yourself, "I like to do things NOW." Whenever you are thinking of pushing tasks away, tell yourself you like to do things now.

2. Daily Goals: Set a to do list and have a check box beside every item that you would like to do today. Avoid adding unnecessary things into the list to avoid the list to turn out as a 5000 words essay. Check off the items after you completed it.

3. Visualization: The world greatest athlete uses visualization to optimize their performance. We should use this tool to motivate ourselves and help to increase our productivity too. Visualize how you would feel and see after completing the task. See the image in your mind and make it as vibrant as possible. Examples like having a healthy and well toned body after you completed the exercise or having your book published and selling in the bookstores after you completed writing a book.

4. Set a Deadline: How many times have we procrastinate due to not having a deadline. We could drag and drag till nothing was accomplished. Setting a deadline will incorporate a sense of urgency for getting things done.

5. Countdown: After setting a dead line, counting down would helps to create a sense of urgency too.

6. Baby Steps: Break huge task into bite size nuggets. For example when you are writing an essay of 5000 words, you could instead write a paragraph or 2 instead of trying to complete the whole thing.

7. Peak Period: What is your peak period? When is the time you are the most productive? Take note of the time and allocate tasks that add the most value for you into that slot will help you to be more productive. You tend to do things when you are in your more productive time of the day.

8. Conducive environment: MSN messaging, facebook and countless of other applications and stuff that would distract you from doing your work. Either switch off the application (assuming you got the determination not to turn it back on), off the internet or get to a place where there is no Wi-Fi access to do your work.

9. Do Not Disturb!: Set a time where you are not suppose to be interrupted and do heavy task that you need to concentrate on it. Vice versa, set a time where interruptibility are allowed and do a lighter task in that period.

10. Committing time: Commit time to do a certain task. Do a task for a set amount of time before moving off your seat.

The most important thing is to just start doing something. Energy gathers when you start to do something and momentum will help you to follow through.

How to Take Control of Your Life
 
Have you ever had days when you seem to run around being busy, but when you sit down at the end of the day, you do not seem to have got much done? If you often feel like this then you are not alone. You may feel that your life is in constant chaos, and that although you rush around all day, you do not seem to achieve what you set out to. If you feel like this most of the time, then take action! There are a number of things you can do to help yourself. One effective way is to make lists.

If you already make a list of things to do each day, then look at the following points and see if you can revamp the way you compile your lists to make them more effective. If you do not make lists on a regular basis, then now is the time to start.

1. Make a list.

Making a list can help you to organize your thoughts, and this is a first step in taking control of your life and time. Rather than have all the tasks you need to do spinning around inside your head, get them written down on paper. You will instantly feel calmer.

2. Make a fresh list each day.

Do not try to look ahead on a weekly basis at this stage, as this can sometimes cause feelings that will overwhelm you. Break down your tasks into manageable daily chunks that you can get through. When you complete each task, cross it off your list.

3. Do not add things to your daily list during the day.

Once you have crossed off a completed task, do not be tempted to add on new tasks. If you find that you have some free time during the day - enjoy it!

4. Be realistic.

When you are making your daily list, be realistic. Put down only what you 'need' to do that day. Do not be tempted to add on things that you would 'like' to get done if you have time. Only true 'needs' should be on your list.

Once you get into the habit of making a daily list in this way, you will begin to take control of your life and free up some time to do the things that you would like to do as well as those that you have to do.

The Evolution of Time Management
 
In the 1980's when the term "Time Manage­ment" started to catch on among most peo­ple, the aim was to work more in less time. Effectiveness was a keyword and timetables or "to do lists" appeared everywhere. It made sense at the time and people felt motivated to fit more and more work activities into their daily schedules. "Time is money" was a popular expression. Just when your regular day could not handle more activities, working longer hours was the solution to be able to do a little more then yesterday!

It was an exciting time with lots of energy. The problem was that it just wasn't sustainable. Working 60-80 hour weeks might be all right for a while, but it has consequences for both business and private life in the long run. During the 1990's we began paying for the fantastic professional effective­ness that we experienced in the 80's. Many families broke apart, because there was no time to be together and share a strong bond. A new disease called "burnt-out-syndrome" was suddenly on everyone's lips and it carried with it enormous costs, both on a business, as well as on a private level. So, what really happened here? Looking at it in hindsight, we realize that when people get disconnected from their val­ues and desires, and their only focus is on out­put, then burnout can result. When people loose control over their time and feel that they cannot risk changing their plans, it is usually the classic start of the stress syndrome.

A recent study has shown, that a normal of­fice worker today processes in one year the information and workload that took 3 years, only ten years ago! We want to be effective, but when the true human cost exceeds that of the higher output, it is time to reconsider and change our idea of time management. This has been the proposal of many time manage­ment studies and as a result, we have found a new approach, that of shifting the focus from quantity to quality.

To focus on quality seems like a logical next step, but how do we do this when our calen­dars and "to do" lists are overcrowded and the expectations are still high?

One solution is the 80/20 formula from Pareto. The Key is to focus our energy on the 20 percent of our key goals or tasks, and to choose carefully if we spend our time on the 80 percent that have almost no impact on our success in life. Now, to be able to make such a choice, we need to stop and ask ourselves a few questions:

1. What is really important to me?

2. What are the key-factors to be successful in my business/life?

3. What does my ideal life look like?

4. What are my possibilities?

5. What barriers are there and how can I over­come them?

This process might not always be so easy to accomplish, and many people have found that working with a coach on these questions has helped them find clarity and see what options they have.

By discovering new possibilities about how to live and work by your values, you will feel more balanced, both emotionally and physically. As a result, you will have a clear vision for your future, and you'll develop a high level of energy and focus to ensure that future. Passion and en­thusiasm will return to your life and you will be back on the road to success!

Eliminate Distractions With These 3 Tips For Time Management Success
 
Time management can be a very easy thing. All you have to do is to write your tasks down in a to-do list, prioritize them, and then schedule them into your calendar.

Oh, If life were only so simple.

The truth is, you will most likely be bombarded or at least tempted with a hundred different distractions which supposedly need to be taken care of right this very instant, the moment that you have scheduled the tasks on your to do list.

Here are some tips that you can implement to help you take care of these productivity killing distractions.

1) Try to prevent people from dropping in on you unannounced. This can be quite difficult, especially if you are a manager and have staff under you who require your attention. However, all is not lost, as you can set up times that you are available and inform all your staff that you are not to be disturbed at other times. This may fly in the face of the so called "open door policy", but it will boost your productivity and help you accomplish so much more.

2) If you are using a computer to do your work (and who doesn't, nowadays) then it is important that you keep your computer free of clutter. Your computer desktop that you see every time you turn on your computer should be kept free of all unnecessary icons. Keep all those unwanted programs and icons away. Set up a regular schedule so that you file away all the seemingly innocent documents and files that creep onto the desktop. What you do not see will cease to be a potential distraction.

3) What other distractions are there on your computer? You absolutely do not have to check your email every thirty two seconds. Shut down your email program and your instant messengers. While you are at it, shut down the internet browser as well. Without having those distractions popping up every now and again informing you that so and so has just logged on, or that you have a new email waiting for you, you are now free to concentrate on your work.

All that is left now, is to have the discipline to carry out the tasks on your to do list as diligently as you can.
